Bank Reconciliation

8 topics covering bank reconciliation in AcctApp.

Version 9.7.0

How reconciliation works here

Bank Reconciliation is two-sided: your imported bank STATEMENT on one side, and your BOOK (general-ledger) entries that hit the bank account on the other. You match them up; making the two balances agree (timing differences, unpresented items) is the reconciling work.

If you have one bank account it's selected automatically; with several, pick one from the dropdown. Use the layout toggle to view the two sides side-by-side or stacked.

Set the opening balance

Click "set opening" on the Statement balance card to enter your bank statement's balance just before your first imported line (and the date). The Statement balance = this opening balance + every imported line, so it tracks your real bank position. It's stored per bank account.

Import your statement (CSV)

Click "⬆ Import CSV" and map the columns (date, description, amount, reference). Duplicate rows are detected and skipped. Imported lines appear on the Statement side as "unmatched" until reconciled.

Saving a column mapping template

Once you have the columns mapped correctly, click "Save profile" and give it a name (e.g. "ANZ Cheque Account"). Next time you import from the same bank, select that profile from the dropdown - the column mapping is applied automatically. You can save multiple profiles for different banks or account formats. Delete old profiles from the same dropdown.

Search, sort & the balance cards

Each side has a search box (date / description / amount) and sortable columns - click any header to sort, click again to reverse.

The three cards show both the true balance and the reconciling total:

  • Statement balance (opening + all lines), with the unreconciled statement count + amount.
    • GL balance (the bank account's actual ledger balance, including the opening entry), with the unreconciled book count + amount.
    • Out by (Statement − GL), with the unreconciled difference. Green when fully reconciled.

Matching - single, bulk & multi-select

Tick a line on each side and click "Match selected". For a batch of similar transactions (e.g. several eBay payouts), multi-select: tick several lines on each side and Match - the app pairs them by amount and date. The bar shows the selected totals and an ✓/⚠ check that they line up. Use the "Show reconciled" toggle on each panel to review or unmatch previously matched items.

Match + book a difference

When a statement line and a book entry are close but not equal (a bank fee, rounding), select one on each side and click "Match + book difference". Choose an account for the gap (e.g. Bank Fees) and the app matches them and posts the small adjustment so both sides reconcile - in one step.

Scan a receipt while reconciling

For a statement line with no book entry yet, select it and click "📄 Scan receipt". OCR reads the invoice/receipt and pre-fills the supplier/description; you pick the expense account and it posts the journal for the statement amount and reconciles the line. (If the scanned total differs from the statement amount, it warns you and uses the statement amount so the bank still reconciles.)

Post a journal, adjustments & auto-coding

Other ways to clear items:

  • "Post journal for this line" - book a statement line (with no existing entry) to a chosen account and reconcile it.
    • "➕ Add adjustment" - post a standalone journal for bank interest/fees/charges not on the statement.
    • "⚙ Rules" + "⚡ Auto-code" - set description-matching rules so recurring lines (e.g. a known supplier) post to the right account automatically.

Account fields are type-ahead - start typing a code or name to filter the chart instead of scrolling. Opening-balance journals are never shown here (the opening balance is your starting point, not a transaction to match).
