Importing & Exporting

3 topics covering importing & exporting in AcctApp.

Version 9.7.0

Importing setup data

Settings → Import brings in Chart of Accounts, Customers/Suppliers, Stock Items and Tax Codes from CSV. Download a template, fill it in, preview, and import. Existing records (matched by code/name) are updated. The chart import supports header (group) accounts and hierarchy via optional columns: parent (parent code), postable, bank and current (yes/no).

Opening balances journal

Settings → Import → Opening Balances Journal generates a CSV of your postable accounts with debit/credit columns. Fill in opening balances, set the date, and import to post a single balanced opening journal. It is rejected if debits ≠ credits.

Exporting

CSV export from list screens

Most list screens (Invoices, Bills, Contacts, Stock Items, Journal Lines, etc.) have an "Export CSV" button in the toolbar. The export includes all currently visible columns and respects any active filters - if you've filtered to a date range or customer, only those records are exported.

Reports

All reports can be printed, exported to PDF, or exported to CSV using the toolbar buttons at the top of each report. Commonly used exports:

  • Trial Balance → CSV (for your accountant or to reconcile to your tax return)
    • GL Transaction Detail → CSV (full transaction listing for a period or account)
    • AR/AP Ageing → PDF (for management or lender review)
    • BAS Report → print or PDF for your records

Accountant Export (Excel)

Reports → Accountant Export generates an Excel workbook (.xlsx) with a summary sheet and a transaction detail sheet. Options:

  • Use company-numbered account codes (e.g. 1.1-1020) - helpful for multi-company accountants.
    • Filter by financial year or custom date range.

Custom export via Spreadsheeter Database Query

For tailored exports, open Spreadsheeter → click the "Database" button → write a SELECT query and import the result into the grid → save as .xlsx. This lets you build any report shape without waiting for a built-in report to be added. (Requires the "Spreadsheeter - Database Query" permission on your Security Card.)

Chart of Accounts export

The Chart of Accounts page has an "Export CSV" button in the toolbar that respects the active filter (active only or all). Use it to give your accountant a snapshot of your account structure.
